Scope and Contents

This series consists of records retention schedules, often referred to as disposition standards. In order to properly appraise records for length of retention by the State, the creating agency is required to complete a form to supply the following information. The agency must, of course, supply its name, address, the date of the application for the schedule and a consecutive number. The agency employee who is responsible for the creation and maintenance of the record series must indicate his name, address, title and telephone number. Some information as to the time span covered by the record series and its rate of accumulation (if any) must be indicated. Naturally a brief, concise title must be assigned to the series covered by this form and some indication must be given of the space presently occupied in the agency by the series. Several questions are asked concerning the rate of reference and other reasons for the series to be stored in a specific location. Questions are asked concerning duplication of the series and its classification for security reasons. Finally, the agency indicates its requirements for retention and its recommendations for disposition. A records committee then indicates its assent by requiring each member to sign the form. Thus all legal, fiscal, executive and historical criteria are reviewed before the final disposition of the series of records is approved. There are four types of schedules: (1) regular standards covering series which will continue to accumulate in a specific agency which is still extant, (2) standards covering series which will no longer accumulate either because the function which it documents no longer is performed or because the agency which created it no longer exists, (3) statewide common standards documenting functions performed by all agencies of government such as personnel and fiscal matters and (4) agency wide common standards for records relating to one agency and which reflect its particular mission or function. Information contained on these schedules is summarized and published periodically by the Records Management Division in the Records Retention Schedule.

The standards are filed in numerical order beginning in 1972, with the regular standards filed first followed by the one time standards in a separate numerical sequence preceded by the letter D.
